Job Overview:
The NorthCap University (NCU) is seeking a skilled and experienced ERP Coordinator to join our administrative team. This role involves managing the ERP system, coordinating academic schedules, and supporting various administrative functions to ensure smooth operations across the university. The ideal candidate will have a strong background in educational administration, technical skills in ERP systems, and the ability to collaborate effectively with different departments to enhance operational efficiency.
Key Responsibilities:
- Student Registration & Academic Record Management: Oversee the registration process, including section allocation and attendance tracking, while maintaining up-to-date academic records in the ERP system.
- Time-Table Coordination: Plan, create, and update academic schedules, including class timetables and examination dates, ensuring conflict-free and optimized scheduling for faculty and students.
- ERP System Administration: Manage and maintain the ERP system, ensuring accurate data entry for students, faculty, and administrative processes. Support software updates, integration, and configuration as needed.
- Examination & Result Processing: Coordinate the management of examination data, including data entry, result preparation, verification, and declaration through the ERP system.
- Communication & Notification Management: Upload important announcements and updates on the ERP, manage the Parents Information System (PIS), and ensure timely dissemination of information to students, staff, and parents.
- Fee & Financial Coordination: Collaborate with the finance team to manage fee details, process payments, and assist in generating reports related to student fees and visiting staff salaries.
- User Access Management: Create and manage user accounts for staff, students, and parents, ensuring secure and efficient access to the ERP system.
- Technical Support: Provide first-level technical support to ERP users, assist with troubleshooting, and oversee the installation and configuration of ERP-related software or hardware.
- Data Reporting & Compliance: Generate and analyze reports for attendance, academic performance, financial summaries, and other administrative purposes, while ensuring compliance with university policies and regulatory standards.
Additional Responsibilities:
- Project Management: Lead administrative projects, distribute tasks among team members, and monitor progress to ensure timely completion.
- Continuous Improvement: Stay updated with the latest ERP system features, best practices in educational administration, and recommend process improvements to optimize workflows.
- Training & User Support: Conduct training sessions for staff and faculty on ERP usage and develop user guides or support materials as needed.
Technical Skills:
- Expertise in ERP systems and academic scheduling software, such as aSc Time-Table.
- Proficiency in operating systems like Windows and Ubuntu, as well as application software like MS Office Suite.
- Experience with system integration, configuration, and troubleshooting.
Project Management Skills:
- Ability to initiate, plan, and manage projects, with experience in incident and service request management.
- Excellent collaboration skills and a proactive approach to solving administrative challenges.
Qualifications:
- Bachelor’s or Master’s degree in a relevant field such as Computer Science, Information Technology, Educational Administration, or a related discipline.
- Certification in relevant technologies (e.g., CCNA, ERP software) is an advantage.
- Additional qualifications in education management or administration are beneficial.

CTC: 4.5 to 5.25 lacs per annum
